These Terms of Service ("Terms") govern your use of Atlas Intelligence Studio's services, including Violet for Service Businesses, Violet for Healthcare, and Violet for MedSpa (collectively, "Services"). By creating an account or using our Services, you agree to these Terms.
1. Services Overview
Atlas Intelligence Studio provides AI-powered receptionist services that answer phone calls, book appointments, and manage customer communications on behalf of your business. Our Services include:
- Violet for Service Businesses — AI receptionist for general service businesses
- Violet for Healthcare — AI receptionist designed for healthcare providers with enhanced privacy protections
- Violet for MedSpa — AI receptionist tailored for medical spas and aesthetic clinics
- Calendar, EHR, and CRM integrations
- Appointment booking and management
- Call transcripts and analytics
- Dashboard access for configuration and monitoring
2. Account Registration
To use our Services, you must:
- Provide accurate and complete registration information
- Be at least 18 years old
- Have authority to bind your business to these Terms
- Maintain the security of your account credentials
You are responsible for all activity that occurs under your account.
3. Free Trial and Subscription
Free Trial
New accounts include a 14-day free trial with full access to Services. No payment is required to start your trial. At the end of the trial period, your subscription will begin unless you cancel.
Subscription and Billing
- Subscriptions are billed monthly at the rate displayed at signup
- All payment processing is handled exclusively by Stripe. Our system does not see, access, or store any payment information. Your payment details go directly to Stripe and never touch our servers.
- Subscriptions automatically renew each month until cancelled
- Prices may change with 30 days' notice to active subscribers
Cancellation
You may cancel your subscription at any time through your dashboard or by contacting us. Cancellation takes effect at the end of your current billing period. We do not provide prorated refunds for partial months.
4. Fair Usage Policy
Your subscription includes unlimited call handling minutes. We believe in simple, predictable pricing without nickel-and-diming you for every minute. Use Violet as much as your business needs.
We reserve the right to review your usage under our fair usage policy. If your call volume becomes unsustainable under your current plan, we will contact you to discuss adjustments that better fit your needs.
5. Acceptable Use
You agree not to use our Services to:
- Violate any applicable laws or regulations
- Handle calls for illegal businesses or activities
- Transmit spam, harassment, or fraudulent communications
- Impersonate other businesses or individuals
- Interfere with or disrupt our Services
- Attempt to gain unauthorized access to our systems
- Collect information about callers for unauthorized purposes
We reserve the right to suspend or terminate accounts that violate these terms.
6. Your Responsibilities
You are responsible for:
- Providing accurate business information for Violet to use
- Configuring your calendar and availability correctly
- Complying with telecommunications laws (including consent requirements for call recording)
- Obtaining necessary permissions to integrate with third-party services
- Monitoring your account and call handling quality
7. Healthcare and MedSpa Services: Additional Terms
If you use Violet for Healthcare or Violet for MedSpa, the following additional terms apply:
Privacy and Compliance
- Our Services are designed to comply with PIPEDA (Personal Information Protection and Electronic Documents Act) and PHIPA (Personal Health Information Protection Act) for Ontario healthcare providers
- Zero Data Retention for Call Audio: We do not store, retain, or archive call recordings. Voice conversations are processed in real-time and immediately discarded
- All data is stored exclusively on servers located in Canada (Ontario)
- We act as your agent for the purpose of processing personal health information and maintain appropriate safeguards
Your Healthcare-Specific Responsibilities
As a healthcare or medspa provider, you are additionally responsible for:
- Ensuring your use of our Services complies with applicable healthcare privacy laws
- Providing appropriate training to your staff on proper use of the Services
- Configuring urgent call routing and escalation procedures appropriately
- Reviewing call transcripts and summaries for accuracy
- Not using the Services to collect detailed medical diagnoses or treatment records through phone conversations
Custom Integrations
We build custom integrations with EHR systems (such as Jane App, Cliniko, Oscar, and Accuro) and practice management software in-house. These integrations are included in your subscription at no additional cost. We are responsible for maintaining these integrations, and you agree to notify us promptly if you experience any integration issues.
8. Service Availability
We strive for 99.9% uptime but do not guarantee uninterrupted service. We are not liable for:
- Scheduled maintenance (we will provide advance notice when possible)
- Outages caused by third-party services (phone carriers, calendar providers, etc.)
- Force majeure events beyond our control
9. Intellectual Property
We retain all rights to our Services, technology, and branding. You retain ownership of your business data and content. By using our Services, you grant us a license to use your content as necessary to provide the Services.
10. Confidentiality
We treat your business information and call data as confidential. We will not disclose your information to third parties except as described in our Privacy Policy or as required by law.
11. Limitation of Liability
To the maximum extent permitted by law:
- Our total liability is limited to the fees you paid in the 12 months preceding the claim
- We are not liable for indirect, incidental, or consequential damages
- We are not liable for lost profits, missed appointments, or business losses
- We are not responsible for errors in information you provide to us
12. Indemnification
You agree to indemnify and hold harmless Atlas Intelligence Studio from claims arising from your use of the Services, your violation of these Terms, or your violation of any third-party rights.
13. Modifications to Terms
We may update these Terms from time to time. We will notify you of material changes by email or through the Services. Continued use after changes constitutes acceptance of the updated Terms.
14. Termination
Either party may terminate this agreement at any time. Upon termination:
- Your access to the Services will end
- You may request a copy of your data within 30 days
- We may delete your data after 90 days
We may terminate or suspend your account immediately for Terms violations.
15. Governing Law
These Terms are governed by the laws of the Province of Ontario, Canada. Any disputes will be resolved in the courts of Ontario.
